Privacy Policy

Our promise

Oxford Pharmacy Store (OPS) is committed to protecting your privacy. We will always keep your personal information safe and will never sell it to third parties. We will be clear and open with you about why we collect your personal information and how we use it, but if you have any concerns or questions please feel free to contact us.

We aim to keep our Privacy Policy simple for our customers. The Privacy Policy explains how OPS uses your personal data and how we will store and handle that data, and keep it safe. When we talk about “personal data” or “personal information” in this policy, we mean any information which could be used to identify you, either directly or indirectly, and covers our use of personal information which we collect about you during any interaction you may have with OPS.

Who’s in control of your information?

Throughout this Privacy Policy, ‘we’ means OPS. We may share your personal information internally (within OPS) in order to provide, and keep you informed, about our products and services, to handle any complaints or queries, and to give you the best customer service we possibly can. However, we never lose sight of the fact that it is your personal information and we will only send you marketing material if you have agreed that we can do so.

Collecting information about you Information we collect online:

Cookies

A ‘Cookie’ is a file in your web browser that enables us to recognise your computer when you visit our website and make using our site quicker and easier (e.g. login fields may be pre-filled with your email address). Cookies are also essential to the functioning of certain parts of the site and we use them to collect information about how the site is used, such as how many people visit and return and what products are being viewed.

How we use Cookies

This site uses cookies to store information on your device. Some of these cookies are essential for making our site work, and others give us insights into how the site is being used. These cookies are set whenever you submit a form, login or register, or browse the site. You can control third party cookies by adjusting your browser settings. By continuing to use our site you accept the terms of our Privacy Policy.

Reasons for collecting personal data Providing our products and services

We use your personal information to provide information on the products and services we provide, respond to queries and comments and provide you with the best possible level of customer service. We may use it to contact you about orders you have placed. We may also contact you in emergency situations such as an urgent product recall.

Marketing and advertising

We may analyse your personal information, including the products you view on the website or via our mailings, your browsing habits and other ways you interact with OPS. This is to evaluate the effectiveness of our marketing and to help us provide more relevant offers, advice and information. Rest assured, however, that we will only send you marketing material if you’ve agreed that we can. You can change your mind about receiving marketing material from us at any time by logging on to our website here and updating your preferences.

Sharing of your information

Companies that provide services on our behalf

We share your personal information with companies that provide services on our behalf and although we always try to ensure that any third party that receives your information give the data the same level of care and security as we do, please note that we have no control over how those third parties collect and use your personal data. Those third party sites will have their own privacy policies, and we would advise reading the privacy policy of each website you visit carefully.

Sharing with the NHS

As an NHS organisation we share information with NHS bodies to fulfil our legal obligations, where we have a duty of care to do so.

Legal obligations

We may share your personal information with third parties where required or permitted by law, if we believe we need to do so to protect our rights, or to comply with legal proceedings. In such cases, we will always do so legally and with due regard to your privacy.

Security of personal data

We use appropriate technical and organisational measures to protect your personal data, and review those regularly. Unfortunately, personal data transferred via the internet is not always completely secure. Although we will do our best to protect your personal data we cannot guarantee the security of your personal data. Where we have given you (or where you have chosen) a password which enables you to access certain parts of our Website (for example, for your OPS account), you are responsible for keeping this password confidential. We ask you not to share your password with anyone.

How long do we keep your personal information?

We hold your personal information for as long as we have a legal or business reason to do so, which generally means as long as you remain an OPS customer or as required to meet our legal obligations, resolve disputes or enforce our agreements. To fulfil our obligations to NHS, regulatory or similar bodies, personal information may need to be retained for a period of time after you cease to be an OPS customer. Should you no longer be a customer of OPS then please contact us.

Changes to this privacy policy

This privacy policy was updated in May 2018. We may update it from time to time so we recommend that you check back here occasionally. If we make changes we think may affect you significantly, particularly if they could have an impact on the choices you have made about marketing, we’ll provide you with notice by the most appropriate medium so you know about the changes before they happen.

Staying in control of your information

We respect the fact that your information is personal to you, and we’ll make it easy for you to update or change your personal details or marketing permissions. Please help us to help you by letting us know if your contact details change or if you spot any errors in the information we hold about you. If you would like a copy of the information OPS holds about you or have any queries about the way OPS handles your personal information, please contact us.
